Victoria’s Physical Rehab Society Payment Terms and Invoicing Guidelines

Thank you for partnering with Victoria’s Physical Rehab Society to help improve access to physical rehab services in our community.
Please review the following payment terms and invoicing requirements:

Invoice Submission

All invoices must be submitted to lauren@physicalrehabsociety.ca within 6 weeks of service delivery.

Required Invoice Details

Each invoice must clearly include:

Client First and Last Name
Client Date of Birth
Client Personal Health Number (PHN)
Practitioner First and Last Name
Clinic Name and Clinic Contact Information
Date of Service
Service Provided and Service Duration
Total Appointment Fee
User Fee of $25 billed to the client
Amount billed to MSP (if eligible)
Amount billed to extended health insurance (if applicable)
Remaining amount billed to Victoria’s Physical Rehab Society

(We recommend including an Invoice Number and GST Number if applicable.)

Payment will be processed within 30 calendar days (Net 30) of receipt of a complete and accurate invoice.
Payment will be made by e-transfer to the email address designated by the clinic or practitioner.
Incomplete or missing information on an invoice may delay payment. Clinics/practitioners will be notified of any issues within 5 business days.

Responsibility for Payment

Victoria’s Physical Rehab Society is solely responsible for payment of the program-approved portion, as outlined above.

Once a client is referred through our program, and a treatment plan is approved, funding for the approved portion of services is guaranteed, provided invoicing requirements are met.

Payment is not contingent on client payments, MSP or extended health insurance claim outcomes.

Privacy and Confidentiality

All invoices containing personal health information (PHN, date of birth, etc.) are securely stored and handled in compliance with the Personal Information Protection Act (PIPA) of British Columbia.
